Some Insightly features are limited to specific subscription plans, and each plan has certain limits, such as file storage or the total number of records and custom fields.

Records and storage
Every record you enter counts toward your record count, and all the data you add to Insightly—for example, email attachments and uploaded files—will count towards your storage limit.
Items that will count toward your record limit include:
- Contacts
- Leads
- Organizations
- Opportunities
- Projects
- Tasks
- Emails
- Events
- Notes
- Comments
- Reports
- Any of the above that are in your Insightly Recycle Bin
Your administrator can view your current storage capacity from the Billing & Account page.
Items that will count toward your data storage include:
- Uploaded files
- Email attachments
- Files in your Insightly Recycle Bin
When you reach any of your limits, you will receive a notification email. You will also see warning messages in Insightly.
Custom field limits
Each Insightly subscription plan limits the number of custom fields you can create per object.

- Professional
- 100 custom fields per object
- Enterprise
- 200 custom fields per object

Saving space
Reducing File Storage
One way to reduce your storage use is to link to documents in Google Drive, Evernote, Box, OneDrive, and Dropbox from Insightly records instead of uploading files. Check the articles in our Integrations category for all the latest options. These files do not count against your Insightly storage, because they are not stored on Insightly’s servers.
Email Attachments
If you save emails to Insightly, another way to reduce your file storage is to disable the setting to automatically save email attachments. Many emails contain .gif, .jpg and .png images that take up space.
To disable the settings that automatically saves attachments, click the profile icon to access the User Settings page, and then uncheck the box next to the Save email file attachments to Insightly.
