Planning your users and data imports

Ready to start using Insightly? We're here to help you with the first steps. Here are a few things you'll want to think about before you begin.

Think about your users and administrators

Figure out how many people on your team will need to be in your Insightly account. There are no limits on users in paid accounts, but you will have to pay for each user you add. Don't forget to add your profile pictures!

You'll also need to decide how many of your users should be administrators. Administrators will have access to System Settings and will able to take actions such as adding users and configuring account security.

Try to limit the number of admins on your account, but make sure there are at least two in the event that one leaves in the future.

Plan your user permissions

You will need to decide if you want to enable Advanced Permissions. Simple Permissions are available on all accounts, but Advanced Permissions are only available on higher tier subscription plans. 

Your Advanced Permissions settings determine who can see and share records and objects in your Insightly account. You can assign profiles to groups of users and restrict them from seeing specific content.

Prepare for importing

You might have existing data that you'll need to import into Insightly. Whether you are coming from another CRM or a spreadsheet, you will need to format your data to fit into Insightly's objects, records, and fields. 

Knowing what custom fields you will need is key to making sure all of your data is imported correctly. If you are not an administrator, you will need to plan your fields out with an admin before starting the importing process.
